BACKGROUND DESCRIPTION: There's a lot of copyediting to be done during the week, and one of the most tedious is formatting;
In order to layout neat, meet the requirements, in each word in a large number of changes, such as: font, size, line spacing, paragraph before and after the spacing, etc. ...... But this is a lot of repetitive work, different documents require the general format is always the same;
So is there a way to open a new word document each time we can directly generate the format we want?
Here we are sharing a very simple method - modifying the word template file ().
New Document Generation Principle
Before we put the actual method of operation, we need to understand why this will work, what is the internal operation mechanism of word?
In each of our new word document, word will be set according to which the "user template" path, search for a file named path, that is, the word's default template file - we can understand it as a document of a parent, any sub-document is an exact copy of the parent. And we are currently opening this new word document, in fact, is a copy of this template file.
Then if we make changes on this most rooted parent document, we can change all subsequent word documents.
2. Template modification method
Here we introduce two methods according to different needs: partial modification and direct replacement.
First, we open any word document in:
File → Options → Advanced → Slide down until you find the location pictured:
Click on the file location → double-click the user template → copy the template path, open the folder, you will find a file under the path, is the above mentioned word template file!
Next you can modify it as much as you want.
2.1 Partial modifications
Double-click on the open file and you will see that it is not different from the usual word file.
In fact, it is the real word file, we usually use the new word file, are just a copy of it.
Next, we can make as many changes as we want to the various settings in this file, and all the changes we make can be exactly replicated in subsequent new word documents (even where the mouse was when we ended editing!).
Special Note: When saving after modification, be sure to set the suffix to .dotm and name the file as Normal, otherwise word initialization can not find this file.
2.2 Direct replacement
This method is for those who already have other formatting templates for users, this template in the form of many, can be someone on the Internet to share, but also can be the usual work of the collection of formatting templates. If you think that a document format is very good, you want to use all word documents in the future this format, then, in accordance with the following steps on the operation can be oh:
1, first of all, open the replacement file you want to use, delete its entire content (otherwise every word after that will retain the content);
2, select Save As, select the suffix for .dotm, and the file name is changed to Normal, save to the desktop (here is not saved directly to the template path, because if you save directly, many times the system may explode naming unreasonable error, which is also one of the word's protection mechanism)
3. Delete the original file and copy the newly created file into the template path.
